SERVICE POSITIONS
Charlotte AA Group
BACKUP POSITIONS & CONTINUITY
Required Backups (elected same time as primary):
- Treasurer Backup
- Secretary Backup
- Group Conscience Chairperson Backup
Backup Responsibilities:
- Serve if primary position holder is unavailable
- Assume full duties until primary returns or term ends
- If primary position becomes permanently vacant, backup assumes role and group elects new backup at next business meeting
Service Position Vacancies:
- Positions with backups: Backup assumes duties; new backup elected at next business meeting
- Positions without backups: Group Conscience Chairperson appoints temporary replacement until next business meeting; group elects someone to complete remainder of term
Digital Access & Security:
- Secretary + Group Conscience Chairperson maintain all passwords and digital credentials
- Treasurer maintains access to treasury records and bank account
- Complete handoff protocol required when positions rotate
- All credentials documented and secured
Two-Year Review: At the 2-year mark, the group will review whether other positions need designated backups based on identified vulnerabilities.
QUARTERLY COMMITMENTS (3 months)
No sobriety requirements
Meeting Coordinator
- Schedules 3 chairpeople per month for regular meetings
- Ensures each chairperson understands the format
- Obtains birthday chips from Supply Person for celebrants
- Coordinates with celebrants about birthday night format
- Maintains continuity between meetings
- Rotates every 3 months
Coffee Maker
- Makes coffee before meeting
- Sets up coffee station
- Cleans coffee equipment after meeting
- Does NOT purchase supplies (handled by Supply Person)
- Holds meeting space keys
- Responsible for opening and closing meeting space
- Rotates every 3 months (passes keys to next Coffee Maker)
Greeter
- Arrives early to welcome members and newcomers
- Helps newcomers feel welcome
- Directs people to literature or coffee
- Rotates every 3 months
ANNUAL COMMITMENTS (1 year)
Secretary
- Sobriety requirement: 1 year
- Term: 1 year
- Takes minutes at business meetings
- Maintains digital group records (Google Docs/Sheets)
- Manages membership list and contact information
- Prepares new member packets (printed copy of all group documents + current member contact list) for distribution when someone joins
- Handles group correspondence
- Maintains group laptop/digital infrastructure
- Reports at monthly business meeting
Treasurer
- Sobriety requirement: 1 year (2 years after group's second anniversary)
- Term: 1 year
- Manages group bank account
- Collects and deposits contributions
- Pays group expenses (rent, literature, supplies)
- Provides monthly financial report at business meeting
General Service Representative (GSR)
- Sobriety requirement: 1 year (2 years after group's second anniversary)
- Term: 1 year
- Attends district meetings
- Links group with AA service structure
- Reports district/area information to group
- When important issues arise that affect AA as a whole, brings them to the group for our group conscience vote
- Otherwise trusted to represent our group's conscience based on knowing the members and our collective positions
- Votes at district/area as our trusted servant, not as an individual
- Reports at monthly business meeting
Supply Person
- Sobriety requirement: 1 year (2 years after group's second anniversary)
- Term: 1 year
- Orders and maintains Big Book inventory
- Purchases all group supplies (coffee, chips, literature)
- Manages literature display and sales
- Maintains supply inventory
- Handles reimbursements through Treasurer
- Reports at monthly business meeting
Group Conscience Chairperson
- Sobriety requirement: 1 year
- Term: 1 year
- Chairs monthly business meetings
- Ensures adherence to group charter
- Facilitates group conscience decisions
- Maintains order during business discussions
Treatment Center Representative
- Sobriety requirement: 6 months (1 year after group's second anniversary)
- Term: 1 year
- Attends H&I/Treatment Committee meeting (last Saturday of month)
- Encourages group members to get involved in treatment center and jail work
- Maintains contact information for Corrections Committee
- Attends Corrections Committee meetings when able to familiarize themselves with that aspect of service work
- Serves as a resource for group members interested in institutional service
- Helps members navigate requirements for institutional service (background checks, orientation, etc.)
- Coordinates with treatment centers for Big Book donations
- Brings treatment committee and corrections information to group
- Reports at monthly business meeting
SELECTION PROCESS
- Quarterly positions: Sign up at business meeting for next quarter
- Annual positions: Elected at business meeting prior to rotation
- All positions subject to group conscience approval
- Members encouraged to rotate through different positions
REPORTING
All service positions with external commitments (GSR, Treatment Rep) provide monthly reports at business meeting
NOTES
- After 2 years, certain sobriety requirements increase to ensure group stability
- No member should hold more than one service position simultaneously (except temporary coverage)
- Service is a privilege and responsibility - positions may be recalled by group conscience if duties are not fulfilled
- Meeting Coordinator or another trusted member maintains backup keys in case Coffee Maker is unavailable
